For Coordinators

Job Description

College Regional Coordinator General Role

Regional Coordinators (RC) are responsible for overseeing all aspects of the Championship Series competition within their region/division.

Specific Role

The RC organizes the regional tournament, including working with team captains in the region to establish a consensus date and site for the event, within the guidelines set out by the UPA Administration. The RC is solely responsible for all administrative and competition-related aspects of the event, within the appropriate division, including collecting dues, rosters, and administrative materials, and enforcing UPA competition, membership, and eligibility rules.

Two key roles are providing assistance to the other RCs within the region and overseeing appropriate division Sectional Coordinators (SCs) in the region. The RC works with the other division RCs to achieve efficient and effective operations for the region. Sharing information on teams and field sites should help in organizing events. The division RC also oversees the SCs in the same division. This is an important function. The SC is the most direct link to the players, as a large majority of UPA members participate at Sectionals. The SC often turns to the RC for advice or help when needed. The RC has a responsibility to communicate with the SCs in the region with the end goal of providing satisfying tournaments in the Championship Series and to end up with a well-run region. The RC also works with SCs in the division to maintain a team contact list for the region.

Responsibilities:

  • Maintain current regional team contact list
  • Manage Championship Series activities within the region, primarily through management of the Sectional Coordinators. Know and disseminate UPA information about the Championship Series to coordinators (prior to Sectionals) and to members and teams (prior to Regionals) within the region/division.
  • Ensure organization of the division regional tournament and direct competition-related aspects of the event.
  • Serve as the administrative liaison for the UPA to the appropriate region/division, ensuring collection of outstanding dues and other administrative items required for participation in the Series.
  • Report results of the regional tournament, as directed by the UPA Administration.
  • Assist other division RCs within the region, as applicable.
  • Recommend and appoint Sectional Coordinators, with the approval of the National Division Director.
  • Fulfill responsibilities of vacant Sectional Coordinator positions until those positions are filled.
  • Assist with finding a replacement coordinator upon decision to step down.
  • Provide feedback, through channels set up by the UPA administration, on procedures, guidelines, and other elements of the Championship Series, including evaluation of SCs in the appropriate division/region. (In order to receive their full stipend, RC's must fill out the post-Series online survey.)

Appointment

The RC is appointed by the National Division Director. Term is for a period of two (2) years, subject to review and evaluation, and may be terminated or renewed by the National Division Director, with the approval of the Championship Series Director.
